DORCE Procurement Coordination

DORCE coordinates sourcing in China from requirements capture through supplier matching, quote comparison, sample review, inspection planning and shipment follow-up. The purchasing team controls acceptance and authorizes release against the agreed order.

The comparison sheet carries three statuses: included, separately priced and unanswered. A low price with unanswered engineering and freight rows can sit next to a higher price while the team asks both suppliers to price the same boundary.

Five sourcing handoffs

These five steps identify who owns each handoff and what evidence the buyer can request before moving forward.

01

Match suppliers to the brief

Set the destination, use, target dimensions and storey count. Record design loads when the project engineer has confirmed them. Supplier matching can begin with provisional dimensions, but pricing should identify the assumptions that could change the module design.

02

Samples and inspection

Request samples of the specified panel and finish. Coordinate independent inspection at agreed hold points. A sample can show a joint profile or color, while dimensional acceptance and traceability require records from the actual order.

03

Consolidation planning

Request a stowage sketch for consolidation, including weights, dunnage and lift access. Compare cartons and steel packages using the same container type and delivery boundary. Ask the forwarder to verify equipment availability and port constraints.

04

Export coordination

For export coordination, reconcile package marks, invoice details and the shipment document checklist. Send the revised packing list to the forwarder before booking. The carrier and haulier confirm safe loading, dimensions and route permissions.

05

Compare scope and interfaces

Put supplier and site responsibilities on one MEP schedule. Request termination labels, included test records and the module-side interface drawings. Ask the site contractor to price inter-module couplers and utility commissioning separately.

Release checkpoints

RFQ Comparable brief circulated
QC Inspection scope confirmed
BID Exceptions priced and tracked
PORT Shipment documents reconciled

The comparison remains open until the bidder names the unresolved items. For example, a PIR panel can reduce mass relative to a mineral wool alternative at a given thickness. Ask for joint evidence and current mass before choosing a wall for a tight crane radius.

Project responsibilities

  • Confirm which code and edition govern the project before requesting documents from bidders.
  • Check whether the fire report covers the doors and duct penetrations shown in the offered wall assembly.
  • Oversize road permits remain with the local transport team. Confirm external dimensions before booking.

A temporary classification can affect the approval route. Verify occupancy, deployment duration, fire and accessibility requirements with the local team before booking shipment.

Request a procurement review

Send the brief and any supplier quotations already received. We can identify gaps across scope, evidence and logistics before asking the shortlisted firms to revise their offers.
